How to Book a Trip with us

We like to reiterate: as a customer of Himalayan Leaders, it is all about your dreams, wishes, and ideas!!

You can book one of our trips by contacting or completing the form. Most trips described can be altered according to your specific wishes or even tailored just for you or your party!

If you want to plan your trip, we’ll help you in regard of:

  •  interesting places
  • adventurous tours
  • accommodation (from luxurious Hotels to basic camping in tents)
  • the number of days that you have
  • the budget you want to spend
  • group or individual

How to book a trip?

Step 1:

Firstly, use the online booking form to check availability and book a trip. Furthermore, you can also find easy ways to contact us:

Secondly, you can book yours innately by filling out the forms in our brochures and leaflets. Do not have on? Please you can download them.

Step 2:

Personal details: enter details for each passenger.

After this step, you will get a booking confirmation with the Detailed Tour Itinerary by e-mail. Please check all the details of everything is according to your wishes and reconfirm your booking.

Step 3:

Advance payment:  Thereafter, you confirm your trip, we sent you the contract and ask for advance payment:

20% of the total price for a trip to Nepal

25% of the total price for a trip to India, Bhutan, and Tibet

In addition, the remaining balance must be paid 4 weeks (?) prior to departure by the bank or on arrival in Nepal at our office.

Step 4:

Final confirmation: The booking is final after we receive the advance payment. You just have to think about what to pack and enjoy your preparations for an unforgettable trip! And if you have any questions, please ask us!

Cancellation: The cancellation conditions will be applied as stated in our general terms and conditions (download here).

Can prices change?

Things are changing rapidly regarding the travel conditions in Nepal, Tibet, Bhutan, and India.  This is subject to the costs involved in domestic airfares, hotel/accommodation, meals, and local transportation. Likewise, sightseeing entry fees, conservation fees, visa fees, etc, do not stay constant. However, if changes occur after your booking, we will not charge anything beyond the contract amount. We will not make our clients despair by charging extra if the inflation increases after booking. But on the next trip, the price will not be constant and the same as before.

Therefore, we have not quoted the price for our tour programs. It is very hard for us to update the fixed booking cost on our website and keep the price changing at all times. Thus, to obtain the precise prices of the tours, we request you kindly drop an email to us with the details of the tours you wish to do or fill out our booking form. Then, we will reply with the latest cost details within the next 24 hours.

Inclusive or not?

Our prices do not always include entry fees. During sightseeing visits, we leave our guests free to pay the entrance fees for monuments, temples, and monasteries. Some of our clients may intend to stay longer at a single spot instead of visiting more places. However, we always transparently mention what’s included in the price and what’s not.

Insurances

We always encourage our guests to have travel insurance before departure. Special insurance clauses exist in the Himalayan region, especially for trekking. These include helicopter rescue and medical charges in case of unexpected casualties and accidents.

For special mountain rescue insurance, we recommend guests visit the site of their national mountain climbing organizations.

For inquiry and service and to guarantee our customers’ safety with the insurance policy on need, we are fully capable of rescue operations, even in various complex and far-reaching regions. View our Privacy Policy. We are authorized members of the Helicopter Rescue Association, and each mountain guide is a member of this organization.

In short, the Himalayan Leader is a member of several other famous national organizations. They are the Trekking Agent Association of Nepal, the Nepal Tourism Board, the Kathmandu Environment Education Project, and the Nepal Mountaineering Association.
